What do you understand by Formal Organization ? Explain advantages and limitations of formal organization.
Answer – Formal organisation is the deliberately designed structure of authority, responsibility and relationships established by management to achieve specified objectives.
Features: consciously created; based on division of work; specifies reporting relationships; defines duties and authority; emphasises official positions and prescribed rules; provides a planned communication chain.
Advantages: responsibility can be fixed; role clarity avoids duplication and confusion; unity of command supports orderly work; specified duties help achieve goals; established procedures provide stability and continuity.
Limitations: prescribed channels may delay action; rigid rules can restrict initiative; emphasis on work relationships may overlook social and emotional needs; limited flexibility can hinder quick responses.
Formal structure is necessary, but managers should also recognise the informal relationships that exist within it.
